1) Can I get an invitation letter?
Yes. We issue official invitation letters (for visas or institutional purposes) after your registration and payment are confirmed. Please email amc@leibniz-fli.de with your full name, affiliation, and passport details (as required by your embassy).
2) I didn’t receive a confirmation email. Did my registration/abstract go through?
You should receive an automatic confirmation right after submitting each form. If nothing arrives:
- Check your spam/junk folder.
- If it hasn’t arrived within 24 hours, resubmit and double-check your email address.
- If the issue persists, try a different email address.
Still no luck? Contact us at amc@leibniz-fli.de and mention you tried the steps above.
3) The deadline passed. Can I still register?
Yes—good news: we increased venue capacity and opened a limited number of additional seats. Late registration is reopened on a rolling basis until capacity is reached.
4) Can I still present a poster?
Short-talk submissions are closed, but poster submissions are welcome on a rolling basis (limited capacity). Please use our abstract template and submit via the poster form. Acceptance emails are sent on a rolling basis.
5) Can I change my abstract?
For posters, you can update by revoking your submission via the individualized link in your confirmation email and resubmitting—until your poster is accepted. After acceptance, only minor edits (e.g., typos) can be accommodated via amc@leibniz-fli.de.
6) What’s included with my registration?
Your badge covers access to all talks and posters (both days), coffee breaks, on-site lunches, and social activities. The Planetarium “Voyager” program + Conference Dinner (Oct 28 evening) are included—please RSVP in the registration form. We accommodate dietary needs noted during registration.
7) Are there prizes or networking activities?
Yes! We’ll award Best Talk, Best Poster, a Networking Prize, and run a fun Sponsor Bingo. Winners are announced during the Day 2 Closing.
8) What are the payment options?
To finalize your registration, please transfer the fee to:

If bank transfer is not possible, credit card payment is available for an additional 10 €. Email amc@leibniz-fli.de for CC payment or an invoice. Registrations without payment within 14 days are canceled automatically.
9) What is the cancellation policy?
- Until August 31, 2025: Cancellations allowed (25 € handling fee + any bank charges).
- From September 1, 2025: No refunds for cancellations or no-shows.
To cancel, use the cancellation link in your registration confirmation email.
10) What is the poster size and style?
Portrait orientation, maximum A0 (84.1 cm × 118.9 cm / 33.1 in × 46.8 in). Use large fonts, clear visuals, and minimal text. Mounting materials will be provided on-site.
11) Travel grants
Travel-grant decisions have been announced and recipients notified by email.
